Privacy Policy

This Privacy Policy explains how ADR Sentinel, LLC (“we,” “us,” or “ADR Sentinel”) handles information in connection with the ADR Sentinel desktop applications — the Mediator Edition and the Attorney Edition (together, the “Software”) — and our website at www.adrsentinel.com (the “Site”).

The short version

  • Your case data stays on your computer. Cases, parties, offers, demands, notes, and documents are stored locally on your device. We do not have access to them and they are never uploaded to us in the normal course of using the Software.
  • We collect almost nothing. No advertising, no tracking pixels, no third-party analytics, and we never sell your data.
  • The only information that leaves your device is (1) what’s needed to activate and validate your license, and (2) diagnostic or support reports you choose to send (or that are generated when the app crashes) — and even those contain only technical details and non-identifying case metadata, never your client content.

1. Local-first design

ADR Sentinel is a local-first desktop application. Your case files are written to a folder on your own computer (by default, your Documents folder, e.g. “ADR Sentinel Cases” or “ADR Sentinel Attorney Cases”), and application settings are stored in your operating system’s standard application-data location. This content — including party names, dollar figures, negotiation history, strategy and attorney notes, and any documents you link — never leaves your device unless you deliberately export it or paste it into a support message. You are responsible for backing up, securing, and (where applicable) maintaining the confidentiality of this data consistent with your professional obligations.

2. Information we process

(a) License & activation data

When you start a trial, activate, validate, or manage your subscription, the Software contacts our licensing service (operated on Cloudflare at api.adrsentinel.com), which in turn communicates with our payments and licensing provider, Lemon Squeezy. The information involved is limited to:

  • your license key;
  • a device identifier — specifically your computer’s name (host name) — used to manage the per-license device limit;
  • basic product/store identifiers and the resulting subscription status (active, expired, etc.).

We use this solely to enforce licensing, prevent abuse, and let you manage or cancel your subscription.

(b) Diagnostic & support data (crash reports and bug/support submissions)

If the Software encounters an error, or if you use the in-app “Report a bug” / “Contact support” features, a diagnostic report may be created. With your action, it is sent to our service (Cloudflare), stored there, and emailed to our support inbox (via our email provider, Resend). A diagnostic report contains:

  • the edition and app version, build identifier, your operating system/browser-engine string, and a timestamp;
  • technical error information (error message and stack trace, if any);
  • a short list of your recent in-app actions (for example, which buttons or tabs you clicked) to help us reproduce the issue;
  • non-identifying metadata about the current case only — its internal ID, its type (e.g., “Construction”), the number of parties, and the number of log entries. It does not include names, dollar amounts, notes, or any case content; and
  • anything you choose to type into the report (your description and, optionally, your email address so we can reply).

Please don’t paste confidential client information into the free-text field of a support or bug report. Describe the problem generically; we don’t need your client data to help, and we’d rather it stay on your device.

(c) Payment information

Purchases are processed by Lemon Squeezy, which acts as the merchant of record. Lemon Squeezy collects and processes your payment details, billing information, and applicable tax data under its own privacy policy. We never receive or store your full card number.

(d) Email & correspondence

If you email us or submit a support request, we receive your message and contact details and retain them as needed to respond and keep support records.

3. What we do not do

  • We do not use third-party analytics, advertising, tracking pixels, fingerprinting, or behavioral profiling in the Software.
  • We do not sell, rent, or share your personal information for others’ marketing.
  • We do not upload, read, or have access to your case content.

4. Service providers (subprocessors)

We rely on a small number of vendors to operate the Software. Each processes data only to provide its service to us:

5. Data retention

  • License records are retained for the life of your subscription and as needed for our records, fraud prevention, and legal/accounting obligations.
  • Diagnostic and support reports are retained only as long as needed to investigate and improve the Software — target: 12 months — and then deleted, except where we must keep them longer to comply with law.
  • Your case data persists on your device until you delete it; we cannot delete it for you because we never have it.

6. Security

Data in transit to our licensing and diagnostics service is encrypted (HTTPS/TLS). Diagnostic reports are stored with our cloud provider under access controls. No method of transmission or storage is perfectly secure, but because case content stays on your device, the most sensitive information never relies on our security at all — it relies on yours. We recommend full-disk encryption (FileVault on macOS, BitLocker on Windows) and standard device security.

7. Your choices & rights

  • Case data: you control it entirely — view, export, or delete it on your device at any time.
  • Diagnostics: diagnostic reports are sent with your action; you can decline to send a report and can avoid including personal details in them.
  • Access / deletion / correction: to request access to, correction of, or deletion of personal information we hold (such as license or support records), contact us at support@adrsentinel.com. Depending on where you live (for example, under the GDPR or California’s CCPA/CPRA), you may have additional rights, including to access, delete, or port your data and to object to certain processing. We will honor applicable rights and won’t discriminate against you for exercising them.
  • Subscription: manage or cancel anytime through the in-app “Manage subscription” link (Lemon Squeezy customer portal).

8. A note for legal & ADR professionals

ADR Sentinel is a tool to help you track negotiations; you remain the custodian of your clients’ and parties’ information and remain solely responsible for complying with your professional, ethical, and confidentiality obligations (including any applicable rules on technology competence, data security, and client confidentiality). The Software’s local-first design is intended to support — not replace — your own diligence.

9. International users

We operate from the United States and our service providers may process data in the United States and other countries. If you use the Software from outside the United States, you understand that the limited data described above may be processed in the United States.

10. Children

The Software is intended for professional use and is not directed to children under 18, and we do not knowingly collect their personal information.

11. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we’ll revise the “Last updated” date above and, for material changes, provide a more prominent notice. Your continued use of the Software after an update means you accept the revised policy.
